Jobs
A job is one booking on a run: a pickup or drop-off for a passenger, with their address and how many people are travelling. A run’s jobs are listed in the order the driver will do them, and the driver ticks each one off in the driver app as they go.
Watch: a quick tour of jobs
Section titled “Watch: a quick tour of jobs”The video uses a demo venue. It shows booking a regular and a new passenger, seats occupied, reordering jobs, a banned regular, marking a job done, cancelling with a reason and a regular’s job history.
Open a run’s jobs
Section titled “Open a run’s jobs”On the Runs page, find the run and click Manage Jobs. The window has three parts:
- Add a job: the booking form.
- Run Details: the run’s date, time and bus, its total distance and drive time, and every job in order.
- The map: the venue, your service area, a pin for each job (green for pickups, red for drop-offs) and the driving route.
Add a job
Section titled “Add a job”- Click Manage Jobs on the run.
- Enter the passenger:
- Regular passenger: start typing their Name or Membership number and pick them from the list. Their phone, membership, address and special instructions fill in for you.
- New passenger: type their Name, Phone and Membership, then start typing the Address and pick it from the suggestions.
- As soon as the address is chosen, the job’s pin appears on the map, so you can check it’s in the right place before saving.
- Choose Pickup or Dropoff, and the number of passengers. You can book up to the bus’s capacity in one job.
- Add any Special instructions for the driver, such as “Ring when outside” or “Needs help with the step”.
- To save a new passenger for next time, tick Save as “Regular”.
- Click Save Job.
The job is added to the end of the run and appears straight away in the driver app. Click Clear to empty the form and start again.
Checks when you save a job
Section titled “Checks when you save a job”Depending on your venue’s settings in Admin → Settings, a job can’t be saved if:
- The run is full. The run already has the maximum jobs per run.
- The bus would be over capacity. With Prevent over booking on, a job can’t put more passengers on the bus than it seats at any point in the run.
- The address is outside your service area. If you use zones, the address must be inside a zone, and inside the run’s zone if it has one. Owners and admins are asked whether to book anyway; users can’t book outside the zones.
If a job breaks a zone rule after being booked anyway, it shows a red Outside zones or In (zone name) tag on the run.
Reading the job list
Section titled “Reading the job list”Each job in Run Details shows:
- the passenger’s name and number of passengers
- the address
- seats occupied after that job, such as 3/6. Drop-off passengers are on board when the run leaves the venue, pickups get on, and drop-offs get off. A job is highlighted in red if the bus would be over capacity at that point.
- the distance from the venue
The run’s total distance and drive time are for the round trip: from the venue, each job in order, then back to the venue.
Change the order
Section titled “Change the order”Drag a job up or down the list to change the order the driver does them. The driver app updates straight away, and seats occupied are recalculated.
To move a job to a different run, drag it there on the Runs page, or use the all-buses map. See Moving jobs between runs.
Edit or delete a job
Section titled “Edit or delete a job”- Edit Job (pencil): loads the job into the form. Make your changes and click Update Job. If you pick a new address, the map shows where the job will move to.
- Delete Job (bin): removes the job completely. Use this for bookings made by mistake. If the passenger simply isn’t travelling, cancel the job instead, so there’s a record of it.
Done and cancelled jobs
Section titled “Done and cancelled jobs”Drivers usually tick jobs off in the driver app as they go. You can also do it from the office:
- Mark as done (tick): the job is completed. Click it again to mark it as not done.
- Cancel Job (cross): choose a reason (No show, Patron cancelled or Other) and explain what happened, then confirm. Both are required, so there’s always a record of why.
- Restore Job: on a cancelled job, puts it back as a booking still to do.
Done and cancelled jobs are greyed out, and cancelled jobs show their reason, such as Cancelled (No show). Hover over it to see the explanation. Changes made by drivers show up in the office straight away, and the other way round.
Once every job on a run is done or cancelled, the run can be completed. See Completing a run.
A regular’s history
Section titled “A regular’s history”To see every trip a regular has taken, go to Regulars and click the Job history (list) button on their row. It shows each job, newest first, with:
- when it was Scheduled
- when it was Actually done, or that it was cancelled and why
- whether it was a pickup or drop-off
- the bus
Jobs booked by picking the regular from the list are always included in their history, even if the regular is renamed later. Jobs typed in by hand aren’t linked to a regular, so pick regulars from the list whenever you can.
- Pick regulars from the list rather than typing their details. It’s faster, avoids typos and keeps their history complete.
- Check the pin on the map before saving a new address. A wrong suggestion is easy to spot there.
- Cancel rather than delete when a passenger doesn’t travel, so your reports and history stay accurate.
- Use Address Lookup on the Runs page to check whether an address is in your service area before you take a booking over the phone.
